Cancelation polices
Vertex Counseling and Wellness No-Show / Late Cancellation Policy Effective Date: February 1, 2026
At Vertex Counseling and Wellness, we are committed to providing timely, high-quality care to all our clients. To support this, we have established the following policy regarding appointment cancellations and no-shows:
Cancellation Deadline:
- Appointments must be canceled by 12:00 PM (noon) the day before the scheduled appointment.
- For Monday appointments, cancellations must be made by 12:00 PM (noon) on the prior Friday.
- We are unable to process cancellations over the weekend.
This policy allows us to offer your appointment slot to another client who may be waiting for care.
How to Cancel:
To ensure your cancellation is received and processed in a timely manner, please contact our intake department directly. Therapists are often in session and may not see messages in time.

Messages sent only to your therapist do not guarantee that your cancellation will be processed by the deadline.
Late Cancellation / No-Show Fee:
Appointments not canceled by the above deadlines, or appointments missed without notice, will result in a $100 late cancellation/no-show fee.
This fee is not billable to insurance and is the responsibility of the client.
Exceptions:
We understand that emergencies and unforeseen circumstances can arise. Requests for fee waivers are reviewed on a case-by-case basis, and documentation (such as a medical note, proof of emergency, or other relevant materials) may be required.
Veterans Affairs (VA) Clients:
For clients referred through the VA Community Care Network, appointments not canceled by the deadline will count toward the three missed appointments before discharge policy. Timely cancellation is critical to avoid impacting continued care.
